The Vehicle Scheduler Lead will be responsible for overseeing the planning and execution of delivery schedules to ensure efficient and timely delivery of lubricant finished goods. Key Responsibility:
1. Lead the scheduling activities to ensure timely and efficient transportation services to meet transport KPIs.
2. Work closely with internal Shell (i.e., Planners, LOBP, Sales & Marketing) and external departments (i.e., warehouse, transporter, customer) to ensure that orders are allocated based on operational needs and or customer requirements.
3. Manage a team of schedulers, providing leadership, guidance, and training/onboarding related to Logistics operations to ensure optimal performance and productivity.
4. Develop and maintain scheduling policies and procedures (i.e., SOP and WI) to enhance operational efficiency and customer satisfaction.
5. Managed and maintained logistic master data related to transport, such as route determinations, lead time, and customer master data accuracy, including quarterly review.
6. Main focal point for utilize scheduling software and tools to optimize schedules and delivery (i.e., LCT, Auto scheduling, One dashboard).
7. Monitor daily schedules, respond to real-time changes, such as delays, cancellations, or additional service requests, and communicate schedule changes and updates to all relevant stakeholders.
8. Analyze scheduling data and performance metrics according to transport KPI to identify areas for improvement and implement solutions, including preparing regular reports on scheduling efficiency, delivery times, and other key performance indicators (i.e., TBA report, OTIF weekly & monthly report, demurrage data to sales, aging order allocations).
9. Proactively identify opportunities for continuous improvement in delivery operations and implement best practices in delivery scheduling and logistics.
10. Managed billing for package transportation vendor.
11. Uphold the highest road safety standards, reliability, and customer service in all scheduling activities.
12. Act as the main point of contact for delivery-related inquiries and issues and resolve customer complaints and problems promptly and effectively.
Job / Work Dimension:
1. The vehicle scheduler will be leading the overall coordination for scheduling and deliveries from 5 warehouses around Indonesia (Marunda, Medan, Balikpapan, Makassar, and Surabaya), 2 toll fillers, and 1 LOBP.
2. This role will involve the distribution of bulk and packaged lubricant products for domestic delivery, utilizing various transportation modes including road, rail, and vessel.
3. Daily operation from Mon to Sat or Sun (if needed) with an average of 200 shipments per day all over Indonesia, equal to 1ML daily volume.
4. The total number of transport vendors managed is 5 for pack delivery and 2 for bulk delivery.
5. This role will manage scheduling operations and administration (i.e., daily POD, Delivery Note return, Delivery Monitoring, and Aging Report).
Qualification:
1. Bachelor’s degree in business, logistics, or a related field preferred.
2. Proven experience in transportation scheduling or logistics, with at least 1-2 years in a leadership role.
3. Strong knowledge of scheduling software and tools (i.e., MS Excel, MS Word, Macro or Power BI), and the ability to learn and adapt to new technologies.
4. Excellent organizational and time management skills, with the ability to handle multiple tasks in a fast-paced environment.
5. Exceptional leadership and communication skills, with the ability to motivate and mentor a team.
6. Proficiency in data analysis and reporting to drive decision-making and process improvement.
7. Understanding of transport / distribution management principles and best practice.
8. Strong problem-solving abilities and the flexibility to adapt to changing situations.
9. Ability to work effectively under pressure and make sound decisions in high-stress scenarios to meet tight deadlines.
10. Excellent communication and interpersonal skills.
11. Ability to work in a fast-paced environment.
12. May require some travel to delivery sites or warehouses.
13. Knowledge of industry regulations and compliance standards.
